How Do I Communicate With My Client The Right Way?
Respond Promptly
People don’t like to be ignored especially clients who need a task to get done asap. When you are responsive to your clients' messages, it gives them an impression that you are good to work with and it would also make them feel safer working with you knowing that there is someone on the other end who's ready to help them with their tasks.
Acknowledging promptly that you received your client's message and that you understand the instructions clearly is one of the best ways to demonstrate your professionalism to your rabbis/clients.
Chabad Concierge VAs are expected to promptly respond to their Rabbis/clients during their 2 hour window scheduled shifts. You may or may not respond to your client after you log off provided that you have already sent all the necesary outputs required for the day to your client.
Be On The Same Page
Making sure that you are on the same page with the client is also vital in working as a Chabad Concierge VA. It does not only avoid wasting time, but also extra effort for possible revisions, and losing your client's trust. When you are in doubt, ask clarifying questions, communicate with the client as much as you can, and update them on how the task is going.
Avoid False Promises
Another thing to note is avoiding making false promises. If you think you can’t deliver what the client needs on time, let your client know and provide updates, don’t claim that you can do it. Remember, broken promises can lead to broken relationships.
For instances that you encounter issues and unexpected situations, inform your client ahead of time. Keep them updated always! We don't want the clients to be clueless of what's going on on their tasks.
